Who we are
oXyFire Media Creative Ltd is a live broadcast and outside broadcast production company based in South Yorkshire. We are the data controller for the personal information we collect and process. This policy explains what data we collect, why we collect it, how we use it and what your rights are under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
What data we collect and why
Website enquiries and contact forms When you get in touch via our website or by email, we collect your name, email address, phone number and the contents of your message. We use this to respond to your enquiry. Our lawful basis is legitimate interests.
Live chat Our website uses Tawk.to to provide a live chat function. If you use the chat, Tawk.to may collect your name, email address, the content of your conversation and technical information such as your IP address and browser type. Tawk.to is a US-based company registered with the ICO and participates in the UK Extension to the EU-US Data Privacy Framework, providing a lawful mechanism for transferring data to the United States. Email marketing and newsletters If you sign up to receive news, updates or marketing from oXyFire, we collect your name and email address via Mailchimp. We will only send you marketing communications where you have given your consent. You can unsubscribe at any time by clicking the unsubscribe link in any email or by contacting us directly. Our lawful basis is consent. Mailchimp processes data in the United States under the EU-US Data Privacy Framework and its UK extension. Client relationships and contracts When we work with you as a client, we collect and process contact details, contractual information and invoicing data including names, addresses, email addresses and payment details. Our lawful basis is contract performance and legal obligation.
Crew, freelancers and suppliers We collect contact details, bank details, emergency contact information and relevant credentials for crew members, freelancers and suppliers we engage. Our lawful basis is contract performance and legal obligation. Freelancer applications and production planning We use TeamTrack, a UK-based cloud platform, to manage freelancer applications, store crew profiles and plan productions. If you submit a freelancer application via oxyfire.teamtrack.uk, we will collect your name, contact details, skills, qualifications, availability and any other information you provide. This data is stored within TeamTrack and used solely for the purpose of crewing and planning oXyFire productions. Our lawful basis is legitimate interests. TeamTrack is developed and hosted by Thrive IT Ltd in the United Kingdom and processes data in accordance with UK GDPR. You can request deletion of your profile at any time by contacting us at hello@oxyfire.com.
Job applications If you apply for a role at oXyFire, we collect your name, contact details, CV and any other information you choose to provide. We use this to assess your application. Our lawful basis is legitimate interests. We will retain unsuccessful applications for six months and then securely delete them, unless you ask us to keep your details on file.
Website analytics We use Google Analytics to collect anonymised data about how visitors use our website, including pages visited, time spent on site and device type. This data does not identify you personally and is used to help us understand and improve our website. Our lawful basis is legitimate interests. You can opt out of Google Analytics tracking by installing the Google Analytics opt-out browser add-on at tools.google.com/dlpage/gaoptout. Cookies
Our website uses cookies to support essential functions and to enable the third-party tools described above, including Google Analytics and Tawk.to. How long we keep your data
We keep personal data only for as long as necessary for the purpose for which it was collected, or as required by law:
Client and contractual records: seven years following the end of the contract, in line with HMRC requirements
Enquiry and contact data: twelve months from last contact
Crew and freelancer records: seven years following the last engagement
Email marketing data: until you unsubscribe or withdraw consent
Live chat records: retained within Tawk.to until deleted via your dashboard or on request
Job applications: six months unless you ask us to retain them
Who we share your data with
We do not sell personal data to third parties. We may share data with:
Trusted suppliers and subcontractors involved in delivering a production, where necessary and on a need-to-know basis
Our accountant and legal advisers, under confidentiality obligations
HMRC and other statutory bodies where legally required
Third-party service providers including Google Analytics, Mailchimp and Tawk.to, who process data on our behalf under data processing agreements
All third parties we work with are required to handle your data securely and in accordance with UK GDPR. Where data is transferred outside the UK, we ensure appropriate safeguards are in place, including reliance on adequacy decisions or the UK extension to the EU-US Data Privacy Framework where applicable.
Your rights
Under UK GDPR you have the right to:

Ask us to delete your data where there is no lawful reason for us to retain it
Object to or restrict our processing of your data
Receive your data in a portable format
Withdraw consent at any time where consent is the basis for processing, without affecting the lawfulness of processing carried out before withdrawal

Complaints
If you are unhappy with how we have handled your personal data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
