The Challenge

Making a communal office space work for two audiences

DP World’s EU Regional Townhall needed to bring senior leaders, an in room audience and remote colleagues into one live programme from a communal space at the company’s London office.

The room had to accommodate a branded set, multi camera coverage, presentation screens, audience Q&A, two remote speakers, graphics and supplied films while preserving a comfortable experience for the people seated inside it.

The Solution

A branded studio, multi camera gallery and hybrid delivery path

We designed the layered branded set and produced the live programme with direction, cameras, graphics, playout, remote contribution, streaming and Q&A support. Conference Craft supplied the venue AV, audio, screens and lighting in collaboration with the broadcast team.

The event ran through Microsoft Teams and a separate BoxCast player. We delivered a top and tailed file and audience reports on the event night, added the live lower thirds to the on demand master the next day, and later supplied revised distribution versions within the client’s requested window.

Turning a London office into a hybrid broadcast space

DP World’s European Regional Townhall brought senior leaders, a live studio audience and remote colleagues together on 28 June 2023. The programme combined presentations, two remote contributors, pre recorded content, audience questions and a closing fireside discussion in a communal area at DP World’s London office.

Edelman and DP World commissioned us to produce the live programme. We worked with Conference Craft to transform the office into a branded, camera ready environment and to deliver the townhall livestream production through Microsoft Teams and a separate web player.

A compact room with two different audiences

The office needed to work for people seated only a few metres from the speakers and for viewers joining online. Cameras, lighting, sound, screens and crew positions had to fit around the room’s existing structure while giving presenters a clear route between lectern, panel and audience Q&A.

The programme added further layers. Presentation slides and VTs needed reliable playout, remote speakers had to enter the discussion through Microsoft Teams, names and graphics had to stay accurate, and the online audience needed a managed question route. Every element had to serve the in room conversation and the broadcast frame at the same time.

A set designed around DP World’s visual identity

We developed a three layer, fire retardant scenic concept in DP World’s colour palette. The approved design incorporated a floor to ceiling branded background, colour accents for the business areas, a lectern, presentation displays and on screen motion graphics. Event photographs confirm that the layered set and branded presentation area were built in the office.

Conference Craft supplied the venue AV and technical event support. Its published account records a Yamaha and Dante audio system, Shure lapel and handheld microphones, two 85 inch Samsung screens and lighting shaped for both the room and the camera. That collaboration gave the production a coherent visual and audio environment within a limited corporate space.

Multi camera direction, graphics and remote contribution

We supplied the producer, director, technical lead, camera team, graphics and playout support, Q&A support and project management. The event photographs show the camera floor and production gallery in operation, while the final running order records the sequence of presentations, remote speakers, VTs, panel discussion and audience questions.

The gallery created a single programme from the live cameras, presentation sources, pre recorded films, on screen names and remote inputs. Microsoft Teams carried the official attendee route, and an event day BoxCast link gave viewers a route outside Teams. A dedicated return path also supported the remote conversation so that speakers could take part in the same programme as the London panel.

Two days onsite for setup, rehearsal and transmission

Conference Craft began the venue build on 27 June, followed by our camera preparation that afternoon. The full crew returned on 28 June for technical rehearsal, presenter checks and the live programme. The scheduled transmission ran from 12:00 to 13:55, covering leadership updates, business topics, two remote contributions and the fireside Q&A.

This schedule gave the team one controlled build period and a morning to test the complete chain before the audience entered. Presentation, remote call and streaming routes were checked alongside cameras, graphics, playout and audio, giving the live programme a coordinated technical workflow from the room to its online viewers.

More than 18,000 colleagues reached across Europe

The client later told us that more than 18,000 colleagues watched the programme across Europe. Many joined in groups at DP World locations, so the individual BoxCast connection total never represented the true audience. The Microsoft Teams route and shared workplace viewing helped turn a London townhall into a genuinely European internal broadcast.

We made a top and tailed programme available on the evening of the event. The following day, we updated the file with the live lower thirds and removed two technical pauses for the on demand version. When the client later requested a change before wider internal distribution, we prepared two review options and delivered downloadable masters ready for the client’s chosen platform within the requested window.

A practical model for hybrid internal communication

The programme brought senior leaders, remote speakers and an in room audience into one production. Cameras, presentation sources, pre recorded films, graphics and audience questions were coordinated through the gallery, allowing each contributor to take part in a consistent programme wherever they were joining from.
